Overview


The Class observations page allows you to view, record, update and export observations against learning progression indicators for selected students.

How to access Class observations:


  1. Select the PLAN2 tile on the ALAN homepage.
  2. PLAN2 opens to the Class observations page as the default page.

How to view Class observations:

In the selection panel (left side of the ‘Class observations’ screen), follow these steps: 

  1. Select Year.



  2. Select Class. You can use the search tool to find a class.



  3. Select Student/s. You can use the search tool to find a student. For students in a composite class, you can select students by year level.



  4. Select Domain.



  5. Select the sub-element levels you would like to focus on. You can select levels one-by-one or click 'Select all levels' or 'Deselect all levels'. Selecting a level will preview the indicators relating to that level on the right side of the screen.

    • You can use the assessments filter to filter and select sub-element levels that are related to any assessments mapped to PLAN2 (e.g. Best Start Kindergarten, Best Start Year 7).




  6. Click 'Generate Class observations' button to load the class observations table.


The Class observations table displays:

  • Your selected/filtered sub-element level/s and progression indicators


  • If you used the assessments filter, a column for 'Mapped assessment/s' will be shown on the table. The 'Mapped assessment/s' column indicates which assessment/s is related to a selected progression indicator.



  • Your selected student/s. Students' names are grouped by year level and sorted alphabetically.



  • Each student's latest status for the selected progression indicators. The indicator statuses are displayed with colour:
    • Grey = Not assessed
    • Pink = Not observed
    • Orange = Sometimes
    • Green = Always


  • The table will show 15 rows at a time. Use the pagination to view the next rows. You can view all rows by changing 'Show 15 rows' to 'Show all rows'.


To view an observation (indicator status):

  1. Click on an indicator status cell for a student.



  2. The indicator status details will display:
    1. The indicator status
    2. Comments
    3. The author of the observation (teacher's name)
    4. The date of the observation
    5. The student class or group where the observation was made
    6. History count (if there are previously saved observations)



  3. Click on 'History' to view previous observations made for the student in the selected indicator. A pop-up screen will display.

  4. You can click outside the indicator status details box to close it.


How to enter and save your class observations:


A. For one student:


In the Class observations table, follow these steps:

  1. Click on the indicator status cell for a student.
  2. In the indicator status details box:
    1. Select a Status
    2. If applicable, type in a comment in the Comments field
    3. Before saving, ensure that the 'Save update in:' field has a value and is not empty.

      Note: The 'Save update in:' field will be auto-populated with the student's roll class or group. If you want to save the observation in a different class/group, you can select another class/group from the 'Save update in:' dropdown list. The dropdown will list all the classes/groups that the student belongs to.

    4. Click 'Save' to save your observation.


B. For multiple students

  1. Click the pencil icon for the progression indicator you want to observe. A pop-up screen will display.


  2. In the pop-up screen, follow these steps:
    1. Select a Status
    2. If applicable, type in a comment in the Comments field
    3. Before saving, ensure that the 'Save update in:' field has a value and is not empty.
    4. Select multiple students. You can tick 'Select all students' or select multiple students by ticking the students' names.
    5. Click 'Save' button to save your observations for the selected students.


How to download your class observations:

  1. Click the 'Export as Excel' button located above the Class observations table.

  2. The Excel file will be downloaded to your computer. 
  3. Open the downloaded file in MS Excel to view and analyse the data.
